Introduction
FieldPlexus LLC ("FieldPlexus," "we," "us," or "our") operates FieldPlexus, a software-as-a-service platform for landscaping, lawn care, and recurring service businesses. Our platform is accessible at fieldplexus.com and app.fieldplexus.com.
This Privacy Policy explains how we collect, use, share, and protect information when you use our services. By using FieldPlexus, you agree to the practices described in this policy.
If you do not agree with this policy, do not use FieldPlexus.
Who this policy applies to
This policy applies to:
- Customers: Landscaping and service business owners who subscribe to FieldPlexus to run their business
- End clients: The customers of our Customers (the homeowners, property managers, and businesses who receive invoices, estimates, and service from our Customers via FieldPlexus)
- Visitors: Anyone who visits fieldplexus.com or interacts with our marketing
When this policy refers to "you," it means whichever of the above applies to your situation.
Information we collect
Information you provide directly
For Customers (business owners):
- Name, email address, phone number
- Business name, business address, business phone, business email
- Login credentials (managed through Clerk, our authentication provider)
- Payment information for your FieldPlexus subscription (handled by Stripe)
- Tax information you enter (such as your business tax rate)
- Information you enter about your end clients
- Information about your business operations (schedules, services, pricing, expenses)
- Photos you upload (such as receipts or job site photos)
- Communications you send to our support team
For End clients (your Customers' customers):
- Name, email address, phone number
- Service address
- Information your service provider (our Customer) enters about you
- Information you provide directly when interacting with invoices, estimates, or notifications
Information collected automatically
When you use FieldPlexus, we automatically collect:
- IP address and device information
- Browser type and version
- Operating system
- Pages visited and features used
- Timestamps of activity
- Referring website
- Cookies and similar tracking technologies
Information from third-party services
We receive information from third-party services you authorize:
- Stripe: Transaction data, payout information, and account verification status when our Customers connect their Stripe accounts to accept payments from their end clients
- QuickBooks: Customer, invoice, and payment data when our Customers connect their QuickBooks Online account
- Plaid (upcoming feature): Bank transaction data, account information, and balance data when our Customers connect their business bank account through Plaid
Information about SMS communications
When SMS messages are sent through FieldPlexus we collect:
- Phone numbers of end clients receiving SMS
- Consent status (whether the end client has replied YES to the consent request)
- Message content and timestamps
- Delivery status from Twilio
- Opt-out status (STOP replies)
How we use information
To provide the FieldPlexus service
- Create and manage your account
- Process subscription payments
- Send appointment reminders, invoices, payment receipts, and other transactional communications on behalf of our Customers
- Schedule and track service appointments
- Generate invoices, estimates, and reports
- Sync data with QuickBooks Online when you've authorized it
- Process payments from end clients to our Customers through Stripe
- Import bank transactions through Plaid (when this feature launches)
- Track equipment maintenance and send reminders
- Provide AI-powered support through our in-app support center
To improve and secure the service
- Monitor service performance and reliability
- Investigate and prevent fraud, security breaches, and abuse
- Debug issues and improve features
- Conduct internal analytics on usage patterns
- Comply with legal and regulatory obligations
To communicate with you
- Respond to your support requests
- Send service announcements, updates, and changes to terms or policies
- Send marketing communications about FieldPlexus features (you can opt out at any time)
To comply with legal obligations
- Respond to legal process, court orders, and government requests
- Enforce our Terms of Service
- Protect the rights, property, or safety of FieldPlexus, our Customers, end clients, or others
How we share information
We do NOT sell your personal information to third parties.
We share information only in the following situations:
With service providers (sub-processors)
We use trusted third-party services to operate FieldPlexus. Each service receives only the information needed to perform its specific function. Our current sub-processors include:

Each sub-processor is contractually bound to protect your information and use it only for the purposes we authorize.
With our Customers and their end clients
If you are an end client of one of our Customers, the information you provide flows to that Customer's account in FieldPlexus. The Customer controls how they use that information within FieldPlexus (sending invoices, scheduling appointments, etc.).
With your authorization
We share information with third parties when you specifically authorize us to do so (such as connecting your QuickBooks account or your bank account through Plaid).
For legal reasons
We may share information if required by law, court order, subpoena, or government request, or if we believe disclosure is necessary to protect rights, property, or safety.
In a business transfer
If FieldPlexus is involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred. We will notify affected users before the transfer takes effect.
Bank account integration (Plaid)
This section describes how FieldPlexus handles bank account information when you use our upcoming bank integration feature. This feature is optional and requires your explicit authorization.
When you choose to connect your bank account
You authorize FieldPlexus and Plaid to act on your behalf to access and transmit your personal and financial information from your selected financial institution. Your information is transferred, stored, and processed by Plaid in accordance with the Plaid End User Privacy Policy at plaid.com/legal/.
Information FieldPlexus receives from Plaid
- Account name and type (business checking, savings, etc.)
- Account number identifiers (last 4 digits only)
- Transaction amount, date, time, description, and merchant name
- Transaction status (pending or posted)
- Transaction category as classified by Plaid
FieldPlexus does NOT receive or store your bank login credentials or your bank account password. Plaid handles your bank authentication directly.
How FieldPlexus uses this information
- Display transactions in your expense tracking and accounting features
- Categorize transactions to help organize expenses for tax and reporting purposes
- Generate financial reports for your business
- Support integration with accounting tools you choose to connect
We do not
- Sell, rent, or share your bank transaction data with marketers or any third party
- Use your transaction data for advertising
- Aggregate your data for resale to third parties
Retention
While your bank account is connected, we store transaction data to provide ongoing service. If you disconnect, we stop receiving new transactions but retain previously imported data for your historical reporting and tax purposes. You may request deletion at any time.
Disconnection
You may disconnect your bank account at any time from your FieldPlexus settings, or manage your Plaid connection through Plaid Portal at my.plaid.com.
SMS messaging and consent
This section describes how FieldPlexus handles SMS communications.
For Customers: When you enable SMS for your business, you can send appointment reminders, invoice notifications, and payment confirmations to your end clients via SMS through our integrated messaging system (powered by Twilio).
For End clients receiving SMS: We will send you a one-time consent request asking if you agree to receive automated service messages from your service provider. You must reply YES to receive any further SMS messages.

- Message and data rates may apply
- Message frequency depends on the services you receive
All SMS messages include the sender's business name and clear opt-out instructions in accordance with TCPA and CTIA guidelines.
SMS data: We collect and store your phone number, consent status, message content, and delivery information. This information is used only to deliver the messages you've consented to and to comply with messaging regulations.
Cookies and tracking
FieldPlexus uses cookies and similar technologies to:
- Keep you logged in
- Remember your preferences
- Analyze how the service is used
- Protect against fraud and abuse
We use the following categories of cookies:
- Essential cookies: Required for the service to function (authentication, security)
- Functional cookies: Remember preferences and settings
- Analytics cookies: Help us understand how the service is used (Google Analytics)
You can control cookies through your browser settings. Disabling essential cookies may prevent you from using the service.
Data security
We protect your information using:
- Encryption in transit: All data transmitted between you and FieldPlexus is encrypted using TLS (HTTPS)
- Encryption at rest: Sensitive data including bank tokens (when applicable) is encrypted using industry-standard envelope encryption with managed key management services
- Per-tenant data isolation: Each Customer's data is stored in a physically separate database
- Access controls: Only authorized personnel with a business need have access to your data, and access is logged and monitored
- Multi-factor authentication: Required for administrative access to systems
- Regular security review: We review our practices and update them as needed
We comply with the Federal Trade Commission's Safeguards Rule under the Gramm-Leach-Bliley Act, as applicable to entities of our size, for the protection of nonpublic personal financial information.
In the event of a data breach affecting your information, we will notify you and applicable regulatory authorities as required by law.
Data retention
We retain information for as long as needed to provide the service and as required by law.
- Account information: Retained while your account is active and for a reasonable period afterward for legal and business purposes
- Transaction and financial data: Retained for at least 7 years for tax and accounting purposes
- Communications: Retained for at least 3 years
- Marketing data: Retained until you unsubscribe or request deletion
You may request earlier deletion of information that is not required to be retained by law.
Your rights
For all users
You have the right to:
- Access the information we hold about you
- Correct inaccurate information
- Request deletion of your information (subject to legal retention requirements)
- Opt out of marketing communications
- Receive a portable copy of your data

For California residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

- Right to opt out of the sale or sharing of personal information (we do not sell information)
- Right to limit use of sensitive personal information
- Right to non-discrimination for exercising these rights

For Florida residents (FIPA)
Florida residents are protected under the Florida Information Protection Act (FIPA). In the event of a breach affecting personal information of Florida residents, we will provide notice as required by FIPA.
For European Union residents (GDPR)
FieldPlexus does not currently target or serve European Union residents. If you are an EU resident and have created an account, contact us at support@fieldplexus.com to discuss your data rights.
Children's privacy
FieldPlexus is intended for use by businesses and adults. We do not knowingly collect personal information from children under 13. If we learn we have collected information from a child under 13, we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will:
- Update the "Last Updated" date at the top
- Notify Customers by email of material changes
- Post the updated policy at fieldplexus.com
Continued use of FieldPlexus after a policy update means you accept the updated policy. If you do not agree, stop using the service and request deletion of your information.
