Why Recurring Appointments Matter

This is where most landscapers have the "aha" moment. Set up recurring appointments once and never rebuild the schedule. Thirty weekly clients stay on the schedule for the next two years automatically.

Setting Up a Weekly Recurring Appointment

  1. Tap Schedule in the sidebar
  2. Navigate to the start date (the first day you want to service this client)
  3. Tap the green + Schedule button
  4. Select the client from the dropdown
  5. Pick the service from the catalog and set the price
  6. Set a time if you want (optional — blank shows as "Anytime")
  7. Under Repeat, select Weekly
  8. The Day of Week auto-selects based on your start date (picking a Wednesday selects Wednesday)
  9. Under Ends, choose Never for 2 years of appointments or On [date] for a set end
  10. Tap Create Recurring

The system creates approximately 104 appointments. Each one shows a purple Weekly (Wed) badge. Done.

Setting Up a Biweekly Recurring Appointment

Same steps as weekly, but under Repeat, select Bi-weekly (every 2 weeks).

Biweekly is anchored to the start date. If you pick December 17, appointments fall on Dec 17, Dec 31, Jan 14, Jan 28, and so on. The system skips alternate weeks.

Landed on the wrong weeks? The start date was on the "off" week. Delete the series and recreate starting on a week you actually want to service.

Setting Up a Monthly Recurring Appointment

Monthly uses the "Nth weekday" pattern, not a fixed date. Meaning "3rd Wednesday of every month" not "the 15th." Why? Because the 15th might be a Tuesday one month and a Saturday the next. "3rd Wednesday" is always a Wednesday, so it is predictable for scheduling routes.

  1. Go to Schedule
  2. Navigate to the start date (this determines the pattern)
  3. Tap + Schedule
  4. Fill in client, service, time, price, notes
  5. Under Repeat, select Monthly
  6. The system auto-detects the pattern from your date. December 17 (a Wednesday) becomes "3rd Wednesday"
  7. Adjust Week of Month and Day of Week manually if needed
  8. Tap Create Recurring

Week of Month options are 1st, 2nd, 3rd, 4th, and Last. "Last" means the final occurrence of that weekday in the month, whether that is the 4th or the 5th.

How Many Appointments Get Created

Weekly creates about 104 appointments over 2 years. Biweekly creates about 52. Monthly creates about 24. Long enough you never run out, short enough to keep things fast.

Changing Just One Appointment in a Series

Each appointment is independent. Editing one does not affect the others. Tap the appointment card, change the time or price or notes, and tap Save. Only that day moves. Perfect for "Mrs. Johnson needs 9am instead of 10am just this week."

Ending a Recurring Series

Client stopped service? Open any future appointment, tap Delete, and choose All future appointments. Every future visit in the series is deleted at once. Completed and skipped appointments stay in your history.

Can I Change the Day of Week or Service?

Not directly on an existing series. Delete all future appointments and create a new recurring series with the new pattern. Takes about 30 seconds.
