Welcome to FieldPlexus
You just signed up. The goal of this article is to get a real invoice out the door in about 30 minutes. Follow the steps in order and you will be up and running before the day is over.
You do not have to finish everything in one sitting. Even getting through the first two steps puts you ahead.
Step 1: Set Up Your Business Profile
This info shows up on every invoice and estimate clients see.
- Tap Settings in the sidebar
- You land on the Business Info tab by default
- Fill in Business Name, Address, Phone, and Email
- Tap Save
Your business name is what clients see on invoices. The email is where your copies of sent invoices go.
Step 2: Add Your First Client
- Tap Clients in the sidebar
- Tap the + Add Client button (top right)
- Enter the client's name (only required field)
- Add email (needed to send invoices) and phone (needed for text notifications)
- Add service address and notes if helpful (gate codes, dog warnings)
- Tap Save
Have a bunch of clients already? Tap Import Clients on the Clients page to bring in a spreadsheet.
Step 3: Create Your First Job
- Tap Schedule in the sidebar
- Navigate to the date you want
- Tap the green + Schedule button (top right)
- Select your client, pick a service, set time and price
- Leave Repeat set to None (one-time appointment)
- Tap Create Appointment
Step 4: Complete the Job
When the work is done, tap the green Complete button on the appointment card. The charge automatically goes to the client's collecting invoice. No copying numbers. No double entry.
Step 5: Send Your First Invoice
- Tap Invoices in the sidebar
- Tap the Collecting tab
- Tap the invoice to open it
- Review the line items
- Tap Send Invoice
- Confirm the email and tap Confirm & Send
Your client gets a professional email with your business name and a PDF attachment. That is the core loop of FieldPlexus.
Step 6: The Optional Stuff
Once the basics work, fill in tax rate and payment terms at Settings → Billing. Add your service menu at Settings → Services. Register for SMS at Settings → Text Messaging when ready.
None of this is required. Focus on clients, scheduling, and invoicing first. Everything else builds on that foundation.
Do I Have to Set Everything Up Right Now?
No. All you actually need is one client and one appointment. Tax settings, payment terms, services catalog, SMS, equipment tracking are all optional and can be added whenever.
