Why Track Equipment Here

Mowers, blowers, trimmers, and trucks break at the worst times. Tracking service dates means you get SMS reminders before the next oil change is overdue. Records also make insurance claims and tax write-offs easier.

Adding New Equipment

  1. Tap Equipment in the sidebar
  2. Tap the green Add Equipment button (top right)
  3. Fill in:
    • Type: from the list (Mower Push/Riding/Zero-Turn/Stand-On, Trimmer/Edger, Blower Handheld/Backpack, Hedge Trimmer, Chainsaw, Pole Saw, Pressure Washer, Aerator, Dethatcher, Spreader, Sprayer, Trailer, Truck, Utility Vehicle, or Other Custom)
    • Brand: Honda, Stihl, Echo, etc.
    • Model: model number or name
    • Year (optional)
    • Condition: Excellent, Good, Fair, Poor
    • Status: Active, Inactive, Retired
    • Location: Shop, Truck, Trailer, etc.
    • Purchase Date and Purchase Price (optional, good for records)
    • Last Service Date and Next Service Due Date
    • Notes: serial number, maintenance details
  4. Tap Save

Minimum to get going: Type, Brand, Model, and Status. Everything else adds value but is optional.

Custom Equipment Types

Your equipment not in the list? In the Type dropdown, select Other (Custom), type your type name (example: "Skid Steer" or "Wood Chipper"), and save. It appears in the dropdown next time so you can reuse it. Custom types are private to your business.

Service Status Indicators

Color-coded badges tell you what needs attention at a glance:

  • 🟢 Green — next service more than 14 days away. No action needed.
  • 🟡 Yellow — service due within 14 days. Schedule the maintenance.
  • 🔴 Red — service is overdue. Handle this now or risk a breakdown.
  • ⚪ Gray — no service date set. Add one to get reminders.

Marking Equipment as Serviced

  1. Go to Equipment
  2. Tap View on the equipment you just serviced (or tap the card)
  3. Tap Mark as Serviced Today
  4. Enter the next service due date
  5. Tap Confirm

Last Service Date is set to today, Next Service Due Date is set to what you entered, and the reminder cycle resets.

Typical Service Intervals

Mowers: every 50 hours or 3 months. Trimmers and blowers: yearly. Trucks: whatever the manufacturer recommends. Set the date when you mark it serviced and FieldPlexus handles the rest.

Searching and Filtering

Search box at the top searches Brand, Model, Type, and Location as you type. Filter dropdowns: Status, Type, and Service Status. Combine filters like "Active + Mower + Overdue" to see exactly which mowers need service right now.

Status: Active, Inactive, Retired

  • Active: in use, generates service reminders.
  • Inactive: temporarily out of service (seasonal storage, being repaired). Still generates reminders so you do not forget about it.
  • Retired: sold, traded, or permanently out of service. No more reminders.

Use Retired instead of Delete when you get rid of something. Keeps the history for tax records and insurance claims.

Deleting vs Retiring

Delete only for items added by mistake. For everything else, retire. You can always delete later, but you cannot un-delete. Retiring preserves purchase price, service history, and condition ratings.

SMS Maintenance Reminders

When your SMS registration is Active, FieldPlexus automatically texts you when equipment is due for service. No extra setup — reminders fire based on the Next Service Due Date on each piece of equipment.
