The Core Loop

Tap Complete when a job is done. The charge drops onto the client's collecting invoice automatically. No copying numbers, no manual invoice creation. This is the loop every landscaper runs 30 times a day in FieldPlexus.

How to Complete an Appointment

  1. Go to Schedule in the sidebar
  2. Find the appointment card for the job you just finished
  3. Tap the green Complete button
  4. The Complete Service modal opens with pre-filled fields:
    • Service Description (editable, pre-filled from the appointment)
    • Rate ($) (pre-filled from the appointment price)
    • Quantity (defaults to 1)
    • Total (auto-calculates from rate × quantity)
    • Notes (optional, goes on the invoice line item)
  5. Adjust anything that is different from what was scheduled
  6. Tap Complete & Add to Invoice

What Happens Behind the Scenes

  • The appointment status changes to completed
  • A green checkmark and completion date appear on the card
  • A line item is added to the client's collecting invoice
  • A toast notification confirms: "Added to INV-0042" (or similar invoice number)
  • If the client has no collecting invoice yet, one is created automatically first

Adjusting the Rate or Description

Job took an extra hour? Bump the rate up. Gave the client a discount? Lower it. Did extra work you want to combine into one line item? Edit the Service Description field.

Example: scheduled a $50 mowing, also trimmed hedges for $40. Change the description to "Weekly Mowing + Hedge Trimming" and the rate to $90. One clean line item on the invoice, not two.

Record the breakdown in the Notes field ("$50 mow + $40 hedge trim"). Three months from now when the client asks about the $90 charge, you will remember exactly why.

Parent-Child Property Jobs

For a child property linked to a parent, the line item on the parent's invoice automatically gets the property name prefixed. "Weekly Mowing" becomes "123 Main St - Weekly Mowing." The manager sees every property listed clearly on one invoice.

Completing From the Appointment Detail Modal

If you have the appointment details open (tap anywhere on the card, not the buttons), there is a Complete button at the bottom of the modal. Same completion flow either way.

Forgot to Complete a Job Yesterday?

No problem. Tap the arrow to navigate back to yesterday, find the appointment, and tap Complete. Works exactly the same as completing today. The line item goes on the collecting invoice backdated to when you actually did the work.

Autopay Clients Work Differently

Some clients are billed through QuickBooks autopay or a property manager's own system. Those clients have the Autopay flag turned on in their client record. Completing jobs for them marks the appointment done but does NOT create an invoice line item. The toast shows "Job completed" instead of "Added to INV-XXXX." Everything else about the job works the same.

When a Job Did Not Happen

Rain day, gate was locked, client cancelled — tap the yellow Skip button instead of Complete. Skipping records that the appointment existed but did not happen. No charge goes to the invoice.
