Two Roles: Admin vs Member
FieldPlexus has two team roles. Pick based on what the person actually needs.
- Admin: full access. Can see everything, do everything — clients, invoices, accounting, settings, team management. The person who created the workspace is automatically the Admin.
- Member: crew access only. Sees Schedule and Help pages. Completes appointments and adds notes. Cannot see prices, clients, invoices, estimates, accounting, equipment, or settings. Designed for field workers.
Members never see dollar amounts anywhere. This is standard practice in landscaping — the owner sets pricing, the crew does the work.
Inviting an Employee
- Tap Team in the sidebar
- Tap the Members tab (it should already be selected)
- Tap the Invite button (top right of the members list)
- Enter the employee's email address
- Select their role from the Role dropdown (Member is default)
- Tap Send invitations
Invite multiple people at once by separating emails with commas: "mike@email.com, sarah@email.com, joe@email.com"
What the Employee Gets
An email with the subject "Invitation to join [Your Business Name]." They tap the purple Accept invitation button, land on a Join your team page, enter a phone number and password, verify their phone with an SMS code, and they are in.
They do NOT create a new business. They join your existing workspace.
What a Member Sees When They Log In
- Schedule: daily view with client name, address, phone, service, time, and notes
- Help: the AI support center
Everything else is hidden. If they try to type a URL to a blocked page, they get redirected to Schedule. Price is hidden everywhere — appointment cards, completion flow, daily summary, search results.
Assigning Appointments to Crew Members
Only admins can assign. When creating or editing an appointment, use the Assign to dropdown below the Notes field. Pick a crew member and tap Save. A green badge with their name appears on the appointment card.
For recurring series, choose Update all future appointments to assign the whole series at once. Use Update this appointment only to handle exceptions (Mike is off next Wednesday, reassign just that one to Steve).
Filtering the Schedule by Crew Member
Admins see a View Crew Assignments dropdown below the search bar on the Schedule page. Pick a name to see only that person's jobs. Pick View Crew Assignments (the default) to see everything. The filter only appears when your workspace has 2 or more team members.
Members see two toggle buttons: My Jobs (default, shows only their assignments) and All Jobs (full schedule).
Changing a Role Later
- Go to Team in the sidebar
- Find the person in the Members list
- Tap the role dropdown next to their name
- Select Admin or Member
Start employees as Members. Promote to Admin later if you need them managing settings or billing.
Removing Someone From the Team
- Go to Team
- Tap the three dots (…) next to their name
- Tap Remove
Their login stops working. Any appointments they were assigned to lose the badge (their name can no longer be resolved) but the appointments themselves are unchanged.
Solo Operator?
If nobody else is in your workspace, you never see any crew UI. No dropdowns, no filters, no badges. It only appears when your workspace has 2 or more people.
